This is an exciting opportunity to join our UK team as a Senior Executive Assistant / Office Manager. You'll be a trusted partner to our Executive team, providing high-level support whilst managing office operations across our London and Manchester locations. This dual-focus role requires exceptional organisational skills, business acumen, and the ability to anticipate needs and make informed decisions that maximise executive effectiveness and create an exceptional workplace experience.
How will you make an impact?
Executive support
- Meeting coordination: Coordinate meetings and events across UK locations, collate materials for leadership meetings, and ensure executives are well-briefed with pre-read materials
- Diary management: Manage calendars for executives, anticipating and resolving scheduling conflicts proactively, with business context to maximise their time and effectiveness
- Travel and expenses: Manage expense claims, invoices, purchase orders, and arrange travel itineraries as required
- Stakeholder relationships: Build trusted relationships with internal and external stakeholders across geographies and divisions, acting as a point of contact on behalf of executives
Office management
- Facilities oversight: Manage office leases, workspace memberships, and coordinate with landlords on maintenance, cleaning, and health and safety across London and Manchester
- Events and engagement: Coordinate Quantium Day, UK town halls, and other team events
- People and culture: Coordinate new starter onboarding, IT equipment orders, and partner with HRBP on performance cycles and P&C initiatives
- Operations support: Manage Group Executive visits, support ISO audit preparation, maintain systems documentation, and provide administrative support for projects

- Executive support experience: Demonstrated success supporting executives in a fast-moving, high-change environment with the ability to pivot to changing priorities
- Operations expertise: Experience coordinating office operations, events, and facilities management
- Time management: Superior time management skills for both yourself and others, with high attention to detail
- Decision maker: Ability to be self-led and make informed decisions without escalating, demonstrating initiative and sound judgement
- Relationship builder: Confident ability to build trusted relationships with both internal and external stakeholders
- Communication excellence: Exceptional communication and attention to detail skills, both verbal and written
- Technical proficiency: Proficiency with Microsoft Office Suite, calendar management tools, and collaboration platforms (Confluence, SharePoint, D365)
- Discretion: Ability to handle sensitive information with confidentiality and discretion
